MS Word Formatting Short Cuts

I hereby sharing some useful short cuts which is highly useful for Microsoft Word users. I found these shortcuts highly useful for me so I wish to share to all of you. The shortcuts can really reduce task time. As part of development and speedy changes in information technology, we depend computer for many things. Basically computers are using to prepare document, type and format the data. Microsoft Word or MS word is the highly using software for document preparation, desktop publishing notice preparation etc. When compared to type writers and electronic type writers, computers are mostly used because of its facilities of saving a document, alteration, modification, formatting and as quickly completable task facilities.

If you can understand some of keyboard short cuts and practice with them when you type or format Microsoft word data, it can complete your tasks quickly and easily. I learned these shortcuts while I was working as a computer operator during my previous career opportunities. Even I used to lean and practice all of these short cuts while I type, format word documents needed for my previous offices since 2001, only notice its benefits when somebody asked me about the computer short cuts known to me in an interview. It was a transcription firm, in which I was trying to get a job. So that company authorities were giving additional marks for people who knows short cuts. Fortunately I was able to correctly answer whatever the interview board asked. So I found its importance in learning maximum keyboard short cuts. In true words, I was compelled to learn some of the computer keyboard short cuts due to continuous hardware failure of then used mouse. So I was able to manage the entire computer works Link Even the mouse was completely dead.

Ctrl. + A - Select All - For selecting entire content of a page

Ctrl. + B - Bold - For making the selected content into Bold (strong)

Ctrl. + C - Copy - For copying a selected content or parts of content

Ctl. + D - Font Properties - For opening the font properties window, from there you can change the font face, font size, change the case, change in to bold or italics

Ctrl. + E - Center Alignment - For aligning selected content to central alignment

Ctrl. + F - Find - For finding any word or term from the entire word file which is opened

Ctrl. + G - Go to - To go to a particular term or word in the document opened

Ctrl. + H - Replace - Using Ctrl + H you can replace any words with another. For example if you wish replace a single word or term to another, you can use this short cut. It is highly useful to producing documents and office orders with new name.

Ctrl. + I - Italics - you can change the selected word, sentence, paragraph or entire content into italics using Ctrl + I key

Ctrl. + J - Justify Alignment - For getting justified alignment. Many of the people I found do not use justification. The paragraph and sentence they entered with out justifying will look ugly.


Ctrl. + K - Hyperlink - This used to adding hyper link to a word, term or selected portion of content. Using the hyperlink facility you can link any web page, files saved, documents or directory, profile to a selected word, object or content.

Ctl. + L - Left Alignment - used to getting left alignment for selected text, object or content parts

Ctl. + M - Margin - Of arranging the Margin of page

Ctrl. + N - Open new document - It is used to open new word document when Microsoft words is already opened

Ctrl. + O - Open existing document when MS word software is running

Ctrl. + P - Print - This short cut is one of mostly used and familiar keyboard short cut for ordering a print. This command will print the opened document if your computer is connected to a working printer.


Ctl. + Q - undo formatting - It is for undoing the formatting works like tabs, paragraph formation etc to a selected paragraph or part of a content. For example if you wish to change the tab and some formatting changes added while you typing a paragraph or sentence you can quickly undo the formatting works pressing Ctrl+Q.

Ctl. + R - Right alignment - For getting right side alignment for a selected content

Ctrl. + S - Save - Like printing Ctrl + S is one of the most familiar and highly used short cuts. You can simply save your document while you make each and very changes in your word file wish Ctrl +S

Ctrl. + T - Tab - For setting tab to a content

Ctrl. + U - Underline - Ctrl +u is used to put underline to a selected paragraph, sentence or content.

Ctrl. + V - Paste - This short cut is used to paste any copied content, object, words, terms etc to a new location where the cursor is remaining.


Ctl. + W - Close window - If you wish to close the currently opened window you may use mouse. You may bring your pointing device or mouse to the corner of the window and click on the cross symbol. But if you use Ctrl +W you can simply and quickly close the window which is already opened.


Ctrl. + X - Cut - For cutting a selected portion of content, words, term, para, or enter content which selected. Once have cut some object or content you can paste it in another files or documents opened. The object or document cut will remain in the memory till you perform another cut or any other operations which can delete the copied content or object during the performance of cutting.

Ctrl. + Y - Re undo - You can Re undo using this short cut

Ctrl. + Z - Undo - It is easy and simple step for undoing a task run in MS word.
